INTRODUCTORY NOTE
Dear Potential Applicant,
We appreciate your interest in applying as a member of the Organising Team of “Peloponnese ‘25 - Regional Selection Conference of the European Youth Parliament Greece! Under the theme “Empowering Youth for a Resilient Democracy - Shaping the Future Together”, we aim, along with our Organising Team, to make the first session of EYP in the region of Peloponnese, an event worth remembering.
As the Organising Committee for this session, our goal is to create a collaborative path that combines the ideas and strengths of everyone involved. We want to review and improve our practices, focusing on outreach, inclusion, and sustainability throughout the event. We believe that clear communication, dedication, and fair allocation of tasks are key to a smooth and enjoyable experience for everyone. Our team will consist of individuals with different backgrounds and experiences, bringing diverse ideas to the table, with the aim of creating a supportive and engaging environment for all.
We envision a team that is adaptable, open, and committed to working together. Our priorities include making sure everyone feels heard and valued, ensuring the event is accessible to all, and creating lasting solutions. By staying focused on clear communication, supporting each other, and sharing knowledge, we will build a strong, cohesive team that thrives on collaboration and mutual respect.
Information about the Session
The session will take place from the 20th until the 23th of March 2025 in the city of Kalamata. The European Youth Parliament of Greece has never had any type of session in the Peloponnese, making the outreach and inclusion agenda one of our main priorities. To achieve this set goal of ours, we will be seriously considering applications from people who have never done EYP before and they are interested in this specific position apart from their lack of experience. We consider Peloponnese ‘25 to be a quite unique session with specific and set goals and thus we opt for a diverse team both in experience and with international ambience.
ORGANISING TEAM
The Organising Team of Peloponnese ‘25 - Regional Selection Conference of EYP Greece will consist of 15 people, 2 Head-Organisers, 3 Core-Organisers, 9 Organisers and 1 NC Representative. As the Head Organising Committee of the Session we believe that the formation of the Organising Team is of great importance for organising an International Forum. The Organisers will be allocated in 3 Clusters, and the roles and responsibilities they will need to undertake will be significant and challenging.
The Clusters of Peloponnese ‘25 will be the following:
➔ Human Resources [3 Organisers]
➔ Venues, Accommodation and Transfers [2 Organisers]
➔ Material & Food Management [4 Organisers]
Regarding the Fundraising Cluster, recognising its demanding nature, it has been decided that all the members of both the Core Team and the Organising Team will participate. We believe this distribution of workload is the most effective for the progress of this specific group and for ensuring the financial sustainability of the session.
In detail, the responsibilities of the clusters are as follows:
Human Resources
Responsible Head Organiser: George Risvanis
Responsible Core Organiser: Elena Karatagli
This team is responsible for communicating with the Officials, the Delegates, as well as the Professors and the respective educational institutions. The members will be involved in creating forms, booklets, and ensuring that all participants are properly informed. Additionally, it will be responsible for communicating with other international committees to secure and guide the international delegations.
Venues, Accommodation & Transfer Management
Responsible Head Organiser: Elvira Mentzelioti
This team is responsible for finding venues and hotels to meet the needs of the Session. It also handles transportation for the Session by researching and seeking offers for private buses or other means, and finding the best routes for participant transportation. The duties of this team include writing requests, making phone calls, and visiting venues in person.
Material & Food Management
Responsible Head Organisers: George Risvanis & Elvira Mentzelioti
Responsible Core Organiser: Stella Tsouloufa
This team is responsible for researching and seeking food offers to meet the needs of the Session, as well as creating a daily meal plan. Additionally, it handles inventory management, purchasing new supplies, and distributing them throughout the conference.
Fundraising
Responsible Head Organisers: George Risvanis & Elvira Mentzelioti
Responsible Core Organiser: Galateia Rappou
The responsibilities of the team include researching, writing sponsorship requests, communicating, and attempting to establish partnerships with organisations or companies. Due to the geographical location where the Session will take place, this team will be required to combine the Session's outreach efforts with maintaining long-term collaborations.
